Email tracking is a Streak power tool that shows if and when an email was opened. It also indicates if somebody opened the email more than once and might be an interested prospect.

While a popular Streak feature, acting on this information has been a manual process… until now.

Say hello to our new email tracking magic columns 👋 They’ll help you follow up with engaged prospects as you filter, sort, and group your pipeline based on email tracking data.

Want to follow up with contacts who read your last email? How about prospects who opened it multiple times? Or maybe you want to move leads to a new pipeline stage based on their engagement?

Add the new email tracking magic columns to your pipelines and decide how to take action on email engagement — or lack thereof.

✨ Date of Last Tracked View: when the most recently sent email in that box was viewed.

✨ Total Tracked Views: how many times the most recently sent email in that box has been viewed.

Note: email tracking magic columns do not backfill previous email tracking data, but will update with data moving forward. However, editing a box timeline (tasks, emails, call logs, meeting notes, comments) once the column has been added will cause the column to update and populate with existing data.

3 ways to follow up with prospects based on email engagement 📬

We’ve been dreaming up all the ways we can filter and sort our email tracking data with saved views, and we think you’re going to want in on this.

Saved views pull in whichever boxes match your filter criteria in real-time and allow you to visualize the data in different ways. When combined with magic columns, they provide insights to efficiently manage your pipeline and workflow.

Below are 3 ways we’ll be using the new email tracking magic columns.

1. Send a mail merge to users who read your last email

  1. Add the “Total Tracked Views” magic column to your pipeline.
  2. Filter the Total Tracked Views column to “greater than 0” and save the view.
  3. Send a mail merge to the contacts in your saved view.

2. Move prospects who opened your last email at least 3 times to an “Interested” stage

  1. Add the Total Tracked Views magic column to your pipeline.
  2. Filter the Total Tracked Views column to “greater than 2” and save the view.
  3. Select the boxes in your saved view and bulk move them to an “Interested” stage.

3. Follow up with prospects who opened your email today

  1. Add the “Date of Last Tracked View” magic column to your pipeline.
  2. Create a saved view to filter the Date of Last Tracked View column. Choose “In a range” as your comparison operation and “Today” as your value.
  3. Send a mail merge to the contacts in your saved view.

Bonus: see saved view results in your inbox as soon as they match your filter

  1. Open an existing saved view from the left-hand navigation menu.
  2. Check the option for “Show in inbox” at the top of the saved view.
  3. See results that match your filter in real time in your inbox

Magic columns ✨

It’s ok if you need a refresher on this special type of column.

Magic columns automatically fill in metadata from emails and activity in your pipelines. Metadata includes things like timestamps of the last call, meeting, or email.

You can use magic columns to automatically track things like how many calls have been logged in a certain box, who sent the last email, or how long the box has been in the current pipeline stage.

The data in magic columns updates in real-time, giving you valuable insights to prioritize work and unblock your pipeline.
